Saturday 19 June to Saturday 26 June 2027, eight days
This document sets out the terms and conditions for the Tea J Tea Vietnam Tea Tour 2027, an owner led small group tour operated by Tea J Tea of Renton, Washington, USA, and hosted in person by founders John Milton and Thuy Tran. Please read it carefully. Reserving a place confirms that you have read, understood and agreed to these terms.
I. Agreement to Terms
By reserving a place on the Vietnam Tea Tour 2027, referred to here as the Tour, you expressly agree to comply with these terms and conditions. The person who books is responsible for making sure everyone in their party has read and accepted them. Failure to follow these conditions may result in forfeiture of payments made and removal from the Tour without a refund. Tea J Tea may update these terms before departure and will notify confirmed participants of any material change. Continuing on the Tour after a change constitutes acceptance of the revised terms.
II. Tour Inclusions
The Tour price covers the following for the full eight day, seven night programme, from Ha Noi through Thai Nguyen and Ha Giang and back to Ha Noi:
- Accommodation. Seven nights, twin share as standard. A single room is available as a paid supplement, see Section VI.
- Meals. All meals listed in the published day by day programme.
- Ground transport. All transport within Vietnam on the itinerary, including farm transfers and travel between regions.
- Airport transfers. Arrival and departure transfers, arranged around your own flight times. See Section VII for how this works in practice.
- Tea programme. Every scheduled farm visit, tasting and hands on workshop across the itinerary.
- Hosts. John Milton and Thuy Tran with the group in person for the whole week, with local translation and driver support throughout.
- The trip web application. Your day by day plan, arrival paperwork and the contact details you will need on the ground.
Anything not listed in the published itinerary is not included and is at your own expense. Section IV sets out the main exclusions.

What the base price does and does not limit Every guest on the Tour, at every price, does the whole tea programme. The base price is not a reduced experience. You go to every farm, join every workshop and sit at every tasting. The Premium All Inclusive upgrade and the add on services in Section VI change how comfortable and how hands off your week is. They do not change what tea you see, who you meet, or where you go. |
III. Pricing Terms
1. Two prices. The per person price depends on when your deposit is paid, and on nothing else.

2. One upgrade. Premium All Inclusive adds $750 to whichever price you qualify for. It adds curated excursions beyond the core itinerary, additional tea experiences with our partner producers, on trip money handling, and pre trip assistance if you arrive in Vietnam early.

3. Reservation deposit. A deposit of $500 per guest is required to secure a place. It comes off your total rather than sitting on top of it, and it is not refundable. Section V sets out exactly how the deposit is treated.
4. Balance. The remaining balance may be paid at any time and is due in full no later than Friday 18 June 2027, the day before departure. There is no intermediate instalment schedule. If you would prefer to pay in instalments across the year, tell us and we will arrange it.
5. Currency and payment. All prices are in United States dollars. Payment is taken through the Tea J Tea store at teajtea.com. Any bank or card fees charged by your own provider are yours.
6. Group size. The Tour is limited to ten guests. Places are sold in the order deposits are received and the store stops selling when the tenth place is taken.
IV. Tour Exclusions
The following are not included in the Tour price and are your responsibility:
- International flights to and from Vietnam.
- Your Vietnam e visa. You apply for this yourself and we will walk you through it.
- Travel insurance. See Section X.
- A single room, if you would prefer not to share. See Section VI.
- Meals and drinks not listed in the published programme, including alcohol taken outside included meals.
- Personal spending, souvenirs, and tea you buy for yourself.
- Hotel incidentals, including mini bar items, room service, laundry charged directly to a room, and paid hotel services. See Section VIII.
- Tips and gratuities, which are at your discretion.
- Anything listed in Section VI as an add on service.
- Any cost arising from arriving late to a scheduled departure. See Section IX.
V. Deposit, Balance and Cancellation
1. The deposit is non refundable. From the day your $500 deposit is paid it is not refundable, in any circumstance. The reason is practical rather than punitive. From that day we hold rooms, commit to drivers, and tell our partner growers in Thai Nguyen and Ha Giang how many people are coming, which changes what they pick and when. With a group capped at ten, one place is a tenth of the trip.
2. Everything else is refundable. Your balance and every add on service are refunded in full if you cancel, at any point up to and including the first day of the Tour, Saturday 19 June 2027.

3. No sliding scale. There are no percentage bands and no intermediate cut off dates. If you cancel in May you lose the deposit and nothing else.
4. Transfer to a later tour. If your plans change we would rather move you than refund you. Tell us as early as you can and we will make a reasonable effort to carry your deposit across to the next Tea J Tea tour. This is offered in good faith and is not a contractual right.
5. Cancellation by Tea J Tea. If we cancel the Tour for any reason other than your conduct, you receive a full refund of everything you have paid, including the deposit. We are not liable for other costs you have incurred, such as flights, which is why Section X exists.
6. Force majeure. If the Tour cannot proceed because of events outside our reasonable control, including natural disaster, epidemic, civil unrest, government action or the failure of a third party supplier, we will offer a transfer to a future tour or a refund of amounts not already irrecoverably committed on your behalf. We will be transparent about which is which.
VI. Add On Services
The following are optional, are not part of the Tour price, and may be added at any time up to Friday 18 June 2027. They are refundable on the same terms as your balance. Two of them depend on rooms we have to hold in advance, so tell us early even though the deadline is generous.

Laundry, one honest limit. While the group is up in the high mountains nothing can be washed, for anyone. That is a facilities constraint and it applies to the whole group equally. Washing is done in Ha Noi, in Thai Nguyen and at our other lowland stops.
Connectivity, one requirement. An eSIM only works on a handset that is carrier unlocked. If yours is locked to a network the eSIM cannot be installed, and we will check this with you before you travel rather than on arrival.
VII. Airport Transfers and Ground Transport
Arrival and departure airport transfers are included and are arranged around your own flight, not as a shared group transfer. You send us your flight details and we book a private car for that arrival. Our transport partner confirms the driver name, the vehicle and the plate number in advance, and we pass those to you on WhatsApp before you land, along with a name board so you can identify your driver in the arrivals hall.
Vietnam requires an arrival form at both Ha Noi and Ho Chi Minh City airports. It asks for your accommodation, its address and a local contact. All three are at the top of the trip web application so you can copy them on your phone while you are in the queue. Airport wireless is not always reachable, so we recommend taking a screenshot before you fly.
VIII. Accommodation, Rooming and Incidentals
1. Rooming. Accommodation is twin share as standard and we pair guests thoughtfully. If you are travelling alone and happy to share we will pair you and there is no extra charge. If you would prefer your own room, the single supplement in Section VI covers it.
2. Standards vary by region, on purpose. Accommodation in Ha Noi and Thai Nguyen is hotel standard. In the Ha Giang mountains it is a working guesthouse in a beautiful place rather than a hotel. Hot water, heating and wireless are less reliable up there. This is part of the trip rather than a fault in it, and the retreat upgrade in Section VI exists for guests who would rather have more comfort for those nights.
3. Incidentals are yours. Anything charged to your room is your responsibility and is settled by you directly with the property before you check out. That includes mini bar items, room service, paid hotel laundry, spa services, phone charges and any damage. Items in a hotel room are not included in the Tour price merely because they are in the room. If an unpaid room charge is billed to Tea J Tea after departure we will invoice you for it.
IX. Punctuality and Group Travel
This section matters more than its length suggests, and it exists so that one person's timing does not shape ten people's week.
1. Be five minutes early. Every departure time in the itinerary is the time the vehicle leaves, not the time to start getting ready. We ask everyone to be at the meeting point five minutes before.
2. The thirty minute rule. We will wait up to thirty minutes past any scheduled departure time. At thirty one minutes the group leaves. This applies to every departure on the Tour, from hotels, from farms, from excursions and from meals, in both directions.
3. What happens if you are left behind. We will send you the address and location of where the group is going, and we will help you understand the options. We cannot arrange or pay for your transport, and you will need to make your own way using a taxi or your hotel. Once the group has moved towards the mountains we will not return for a guest who missed a departure. No refund is given for any part of the programme missed this way.
4. Why the rule is firm. Our days are built around other people's schedules. The growers we visit set aside their working day for us. A group that arrives an hour late does not simply start an hour later, it displaces the people who agreed to host it, and on a travel day it can affect more than one day of the itinerary. In practice this has never been a problem. Stay with the group, arrive on time, and it will not affect you.
X. Travel Insurance
Travel insurance is strongly recommended but is not required for the Vietnam Tea Tour 2027. We do not ask to see a policy and we will not turn you away without one.
We recommend it because our refund terms cannot cover everything. Your balance is refundable up to the first day of the Tour, but your flights are not ours to refund, the $500 deposit is not refundable, and medical treatment or emergency repatriation abroad can be expensive. If you do buy a policy, look for trip cancellation cover as well as medical cover, because medical only policies will not help with the parts most likely to go wrong.
XI. Health, Fitness and Travel Readiness
The Tour involves walking on uneven ground, tea terraces and hillsides, some early starts, and long transfer days on mountain roads. It is not a strenuous trek, but it is an active week and it is not wheelchair accessible.
Please tell us before you travel about any medical condition, mobility consideration, allergy or dietary requirement that could affect your participation or that we would need to know about in an emergency. We will keep it confidential and we will do what we reasonably can to accommodate it. We cannot guarantee allergen free preparation in every kitchen we eat in, and we will be honest with you in advance where we have doubts.
You are responsible for your own passport validity, your Vietnam e visa, and any vaccinations or medication you need. We can point you at the process. We cannot apply on your behalf.
XII. Communication and Meetings
After your deposit you will hear from one of us personally within one working day, with the full itinerary, access to the trip web application and the forms we need back before you travel. Within a month of your deposit we will arrange a call with you individually. From six months before departure we run a monthly group call for everyone travelling.
Day to day communication before and during the Tour is by WhatsApp and email. Please make sure we have a number that reaches you.
XIII. Code of Conduct and Removal
We ask every guest to treat the other guests, our hosts, our partner growers and their families, our drivers and every property we stay in with courtesy and respect. Photography on private farms is at the discretion of the family whose land it is, and we will tell you where it is welcome.
Tea J Tea may remove a guest from the Tour, without refund, for conduct that is unlawful, that endangers or seriously disrupts others, or that repeatedly ignores reasonable instructions from a host. This is a last resort and it has never been used. Any onward travel or accommodation cost after removal is the guest's own.
XIV. Assumption of Risk and Limitation of Liability
International travel carries inherent risk. By joining the Tour you accept the ordinary risks of travel in Vietnam, including road travel, rural and mountain environments, weather, and food and drink prepared to local practice.
Tea J Tea is not liable for loss, injury, delay, illness or damage arising from circumstances beyond our reasonable control, including weather, transport delays, the acts of third party suppliers, illness, political events or other force majeure. Nothing in these terms limits any liability that cannot be excluded by law. You waive claims against Tea J Tea except in the case of proven gross negligence by Tea J Tea.
XV. Photography and Media Release
Tea J Tea takes photographs and video during the Tour, for documentation and for marketing, including use on teajtea.com, on social media and in email. Consent to appear is optional.
If you consent, you give Tea J Tea permission to use, reproduce and publish your likeness in those materials without further approval or compensation. If you would rather not appear, tick the box in Section XVII and tell a host at the start of the Tour, and we will make reasonable efforts to honour it. Personal data is handled in line with the Tea J Tea privacy policy.
XVI. Governing Law
These terms are governed by and interpreted under the laws of the State of Washington, USA, without regard to its conflict of law rules. Tea J Tea is based in Renton, Washington. Any dispute arising from these terms or from the Tour will be resolved in the state or federal courts located in King County, Washington, and the parties consent to that jurisdiction.
XVII. Acknowledgement and Signature
I have read, understood and agree to the Terms and Conditions for the Tea J Tea Vietnam Tea Tour 2027. I confirm that the information below is accurate, and that I am booking for myself and for any members of my party, who have also read and accepted these terms.
